REQUIREMENTS

  • Matric certificate/STD 10 certificate/Grade 12/ NC(V) Level 4
  • Recognized National Diploma/Degree in Public Administration/Business Management/Office Management (NQF Level 6) or equivalent qualifications
  • 3-5 years’ secretarial experience in the Public Administration environment
  • A valid driver’s license.

KNOWLEDGE

  • Knowledge and understanding of the TVET College Administration including writing of minutes.
  • Knowledge of relevant legislation, policies, prescripts and procedures.
  • Basic knowledge of Financial Administration.
  • Advanced knowledge in report writing and communication in English.

DUTIES

  • Draft letters, submissions and memorandums.
  • Liaising with Management to obtain reports in the required format within the required timeframe for meetings.
  • Preparing supporting documents for meetings, receiving and distribution of meeting packs and supporting documents to the relevant officials/Council members.
  • Assisting in the establishment and implementation of effective records and document management systems in the Office of the Principal.
  • Ensuring meetings are effectively organized and liaise with the Chairperson of Council to plan meetings and apply the meeting procedures.
  • Provide secretariat support to the College Council, Council Committees, Academic Board, Senior Management and other external stakeholders
  • Coordinate all logistical arrangements for travelling and meetings etc.
  • Processing of claims for travelling and meetings etc.
  • Arrange all meetings, proceedings and activities of the above structures.
  • Compile agendas, minutes, reports and other records of the above structures.
  • Assist in keeping a register of resolutions and supporting all relevant Council Members/Managers/Officials through continuous correspondence to remind them of what needs to be done.
  • Ensuring that approved minutes are signed off, filed, kept safely and confidential.
  • Safe keeping of approved minutes are signed off and safely kept.
  • Assist in drafting all presentations, speeches, reports of the Principal and Council Committees related to meetings of the above structures.
  • Liaise with ASD Quality Assurance to ensure that all College policies are approved by Management and Council and available on the network.
